Executive Assistant
Maintain the Executive Director's calendar, set appointments and brief the Executive Director each day on the schedule.
Arrange travel for the Executive Director including purchase and arrange airline tickets, and hotel reservations.
Create and maintain schedule for all trips, including meetings, logistics, and events.
Manage the Executive Director's email Inbox by screening all incoming mail, deciding how best to route certain questions and inquiries, and respond to selected messages.
Manage all aspects of distribution of annual holiday cards.
Respond to incoming calls and requests.
In Executive Directors absence, ensure that requests for action or information are relayed to the appropriate staff member.
Organize and maintain efficient filing system for the Executive Director's office, including subject, suspense, index and/or cross-reference files.
Maintain the Executive Director's budget and serve as liaison to the Finance Department on budget issues.
Handle and assure timely payment of all Executive Director related invoices.
Maintain database for Executive Director, including entering new contacts, updating contacts, and running reports.
Compose routine correspondence on own initiative or from brief notes or oral instructions, referring to other sources for detailed information.
Assemble materials or reports for distribution.
Prepare reports where the information may be gathered from several sources or may be difficult to organize or compile.
Proofread typed or printed work and check records and reports for grammatical construction, completeness, clerical, arithmetical, and typing accuracy, and for compliance with established standards and special instructions.
